Before You Spend a Dollar on AI, Answer These 3 Questions

Before You Spend a Dollar on AI, Answer These 3 Questions

Most business owners I speak to are not short of AI options. They are short of a clear reason to pick one.

A tool gets bought because a competitor mentioned it, a webinar made it look easy, or a subscription was on special. Three months later it sits there half used, and the task it was meant to fix is still eating the week.

Before any money goes toward AI, three questions are worth answering. None of them need a consultant, and all three fit on one page.

1. Which task is actually eating your week, and how many hours does it take?

"Admin" is not an answer. Neither is "marketing" or "emails". Those are categories, and you cannot automate a category.

Name one task. Chasing unpaid invoices. Writing up quotes. Answering the same five questions from every new client. Then put a rough number on it: how many hours a week, and who does it.

If you cannot name the task, AI will not name it for you. And if the number turns out to be small, you have just saved yourself a purchase.

2. Does software you already pay for do it?

This is the question almost nobody asks, and it is the cheapest one to answer.

Most business software ships new features every few months and announces them where nobody looks. The feature you are about to pay for may already be sitting in a menu, included in your plan.

So before you buy anything new, book a "show me what I am not using" call with your existing vendor. Ask what has shipped in the last twelve months, and what training comes with your plan. It costs nothing, and the answer is often yes.

3. How will you know it worked?

This is the one that gets skipped, and it is why so many AI projects end with "I think it helped?"

Before you change anything, write down how the task runs today. How long it takes, how often it goes wrong, how many times you have to step in. Keep it simple, a note on your phone is enough.

Then check the same things a month after the change. If you did not measure the before, you have nothing to compare the after against, and "it feels faster" is not a result.

The order matters

Answer these 3 in order and 1 of 3 things happens.

- You find the task is not worth fixing.

- You find you already own the fix.

- Or you walk into any AI conversation knowing exactly what you want, what it is worth, and how you will judge it.

All 3 outcomes save you money.
